"Does this patient owe us anything?" — how long does the answer take?

Then Excel opens. A few sheets get scrolled. The phone log gets checked. Someone looks in the cash book. And the eventual answer is: "I think there's about 1,200,000 outstanding."

The real scale of the problem
Patient-database problems usually sit in three layers.
Layer 1: the patient can't be found. A patient named "Nodira" exists in the database three times, because a different administrator entered her each visit. Her phone number is +998901234567 in one record, 90 123 45 67 in another, 901234567 in a third. One person ends up with three cards, and none of them holds the full history.
Layer 2: the balance is never consolidated. The patient pays 500,000 today, the rest "next time." That note lives in the cash book. Tomorrow a different administrator is on shift and never sees it. The patient returns, receives more treatment, pays partially again. Two months later, nobody can state the actual outstanding amount.
Layer 3: there is no debtor list at all. The clinic has no single view of "who owes what." So nobody calls them. The money simply doesn't come back — because nobody ever asks for it.
In a typical clinic, uncollected balances run at 10–20% of monthly turnover. That's work already performed, materials already consumed, and dentist hours already spent.
The solution: a patient record that includes their financial position
In Dental ERP, the patient database isn't a list of names. Each patient record shows three things in one place: who they are, what was done for them, and what they owe.
Phone numbers are normalized automatically. However the administrator types it — 90 123 45 67 or +998901234567 — the system stores it in a single canonical format. Duplicates stop being created, and search works every time.
The balance is calculated, not entered. A patient's outstanding amount is never typed in by hand. It is computed in real time as the difference between all invoices and all payments. Which means forgetting to update it, or entering it wrong, is not physically possible.
Debtors filter in one click. The patient list includes a balance column that can be filtered on. In the morning, an administrator pulls the debtor list in under a minute and starts calling. This is the cheapest possible way to recover money you have already earned.
The full history sits in one record. Dental chart, treatment history, every invoice, every payment, upcoming appointments — all on one screen. The administrator never has to switch context mid-phone-call.
The list exports. The whole database, or any filtered slice of it, exports to CSV — for accounting, for a marketing list, or simply as a backup.
One thing worth noting: this data stays yours
The patient database is a clinic's single most valuable asset. It lives in the system, not in an administrator's personal spreadsheet. When staff leave, the database stays with the clinic. That sounds obvious — right up until the day it matters.
